Guides for DMCs, travel agencies and tour operators

Short, clear explanations of how Beglobber solves what takes up most of your time: rates, quotes, invoices and traffic.

Rates

How to organize rates and markup by market

Why pricing mistakes are often version mistakes, and how loading the cost once avoids them.

The most common pricing mistake in a DMC, agency or tour operation isn't a calculation error; it's a version error. There's one spreadsheet per market, another per rate period, and every quote uses whichever one someone had open.

In Beglobber you load the net rate once, with its rate periods (the validity dates of each rate), the market it applies to and the currency. From there, Beglobber generates the selling rate by applying your markup and respects rules such as day of the week or per-room and per-person pricing.

The result: the whole team quotes the same price, and in every file you can see what it costs, what you sell it for and what you earn.

Operations

From quote to booking in a single file

Why ending copy-and-paste between documents saves time and helps avoid mistakes.

In many teams the quote lives in one document, the booking in another system and the invoice in a third. Every jump is a chance to make a mistake.

In Beglobber a quote is a file in quote status. You build the itinerary with hotels, services, transfers and flights, and Beglobber calculates cost, selling price and profit. If the client confirms, the same file becomes the booking.

The voucher, the service orders and the invoice come out of that file, with nothing to re-type.

Invoices

Invoices for agencies, explained

How the invoice comes out of the booking file and connects to your clients' accounts.

The invoice comes out of the booking file: it already has the client, the amounts and the currency, so it isn't typed again.

You can issue invoices and credit notes, apply configurable taxes and invoice in different currencies. Every document is reflected in the client's account.

Collection and payment orders record what you collect and what you pay, and the pending-collections report shows what each client owes you.

Inbound

Running an inbound operation without spreadsheets

How the operations desk keeps arrivals, guides and suppliers in order when everything changes at the last minute.

In inbound operations, a flight change first thing in the morning shifts the whole day: the transfer, the guide, the supplier.

The operations desk in Beglobber lists departures, arrivals, flights and comments by date. From there you assign guides, change suppliers and issue service orders.

The documents for each file (itinerary, voucher and statement) are generated with your company's branding.

Itineraries

How to build a tailor-made multi-destination itinerary

Why building an itinerary shouldn't mean starting from scratch every time.

Building a tour by hand means copying hotels, transfers and rates from several places, and redoing everything when the client changes a date.

In Beglobber you build the itinerary day by day with your hotels, services and transfers, in one or several destinations. The rate is generated automatically from your costs and your markup, and every change updates the price.

The same tour works for a guaranteed departure or as the starting point of a tailor-made tour.

Groups

Quoting a group without starting from scratch

How a group is quoted and operated, with its rooming and documents.

A group has many pieces: rooms by type, transfers, excursions and a price per pax that everyone asks about.

In Beglobber you quote the group in one file, with cost, selling price and profit, and once it is confirmed you load the rooming list in the same booking.

Vouchers and service orders come out of it, with your company's branding.
