Setting up your hotel catalog once
What you load for a hotel, its rooms and its rates so that every quote, file and online portal uses the same information, and what freesale, the rooms you release for sale, does and does not do.
Why load a hotel once
Quoting mistakes often start with hotel data that is out of date or spread across several files. If the hotel is loaded once, your team and your agencies quote with the same information.
The hotel record
The hotel record is organized in six tabs: details, descriptions, images, policies, amenities and suppliers. You load the name, the category, the address, the reservations email, the phone, the country, city and district, the coordinates, the breakfast type and the cut-off hours, and you decide whether the hotel is published and whether it is shown in the front end.
- Category is a catalog that you name yourself, for example 3*, 4*, 5* or Boutique.
- Descriptions are written per language: one rich-text description for each published language.
- Images: a main photo and a gallery with an order of priority.
- Amenities are a catalog that you assign to each hotel.
- Policies are free text, per language: a disclaimer, the general policies and the cancellation policies. They are printed in the quote and itinerary PDFs, and they are not applied automatically.
Rooms and rate types
Each hotel has its rooms, with a name, a room type, the maximum capacity, the currency, a markup and a photo. Rates are entered per rate type, and rate types carry a capacity: single, double, triple and quadruple. The breakfast type is set at the hotel and is printed on the vouchers.
Rates: cost periods and sale
Costs are loaded as periods for each room: dates, rate type, rate market, days of the week, tax, currency and the per-room option. From those periods, the button that generates the sale rates creates the sale rate day by day applying up to three markups. The rate breakpoints are a summary of the daily sale rates, rebuilt each time you save.
Take note: generating the sale rates rewrites the room's sale rows inside each cost range, so any freesale (the rooms you release for sale, by date) loaded in those dates is cleared. Load freesale after generating the sale rates.
Freesale and availability
The freesale button of the rate screen opens the freesale screen: you choose a range of dates, the days of the week and the number of rooms by rate type. A night with a count is available; a night without it is on request. A line is also on request inside the hotel's cut-off window, which is the hotel's cut-off hours or, if none, 72 hours.
Freesale is a simple count per day. Beglobber does not manage allotment, release days, stop-sell or minimum stay, and it does not subtract from the count when something is booked.
Connected suppliers
A hotel can be linked to supplier and operator pairs, and your own hotels and supplier hotels live in the same catalog. When a hotel is connected to a hotel supplier, the portals show its availability live, while the price always comes from your own rates. Each client works with one supplier integration, and the booking at the supplier is a function that is switched on client by client.
Where the hotel is used afterwards
The same hotel feeds the rooms of the files, circuits, guaranteed departures and the itineraries, the policies in the quote and itinerary PDFs, the breakfast type in the vouchers, and the hotels that your agencies see in the online portals.
