How to build a tailor-made multi-destination itinerary
Build the itinerary destination by destination and day by day, with AI assistance if you want it, see the price follow every change, and give the client a quote PDF with a route map.
Why building a tour by hand takes hours
A multi-destination tour has many pieces: a hotel in each city, the transfers between them, the excursions in the days in between and a rate for every piece. Built by hand, you copy hotels, transfers and rates from several places, and you start again when the client changes a date or a hotel.
In Beglobber the itinerary is built from your own hotels, services and rates, so every piece already carries its price.
Where you build it
Your team builds itineraries in the back office, inside the file, in the section where you add destinations and services: you add a destination with its dates and then its hotel rooms and rated services, plus manual services when something is not in your rates. The file also has a text section for the itinerary, where you write the day-by-day description the client will read.
The new online portal gives your agencies their own guided itinerary builder, with three steps. It is the newest part of Beglobber and is in active development.
Step by step in the online builder
Agencies work in three steps, always on your hotels, services and rates:
- Destinations and dates: name the itinerary, choose the start date, the passengers and the rooms (single, double or triple), and add each destination with its nights. Dates chain automatically from one destination to the next and destinations can be reordered.
- Itinerary, hotels and services by day: every destination shows suggested hotels priced for the party, with availability when the hotel is connected to a supplier. Excursions and transfers are added day by day, each with pick-up, flight and a note for the operator, and any service can be offered as an optional that stays out of the total.
- Save or book: the agency reviews every line, enters the lead passenger and either saves a quotation or books.
The price follows every change
In the online builder, every change to dates, passengers, rooms, nights, destination order or hotel is re-priced on the server. The agency sees only the sell price, with its own terms applied; cost never reaches the screen.
The builder also tells the agency what is wrong or missing. It blocks saving when a hotel has no rate for every night or a service has no rate for that date, it warns about nights without accommodation or a service that does not run that weekday, and it suggests adding an arrival or departure transfer when there is none.
Review before booking
Before booking, the portal re-prices every line at today's rates and shows each one as before and now, so nothing changes silently. If the total moved while the agent was reviewing, the agent has to confirm the new total. A line that is still on request is marked “On request”.
The itinerary your client receives
From the back office you issue the itinerary as a PDF with images (up to three images of the circuit plus hotel and service images) and no prices, and the client quote as a PDF or HTML with the price per passenger.
From the online portal, the client quote generates a PDF with the itinerary route map, the day-by-day itinerary and photos. On a multi-destination itinerary the map shows the numbered stops joined by the route, and each destination shows its hotel and services. The map pins the cities for which Beglobber holds coordinates; for any other city it draws a schematic route. Prices are sell prices only.
AI assistance, if you want it
AI is optional: it is switched off by default and enabled client by client. With it on, the AI quoter turns a request written in your own words into the first draft of the breakdown: you choose the client and the currency, paste the request, and it matches each requested service with a service of your system.
The price still comes from your rates and your markup, never from the AI, and what Beglobber cannot find in your system appears as a manual service with no price. The quoter shows the breakdown only: you then build the itinerary in the file. The page about AI explains each tool.
Reuse what you built
In the back office, copy a file or a quote and Beglobber re-quotes every item for the new passengers, shifted dates, a new currency and markup. In the online portal, duplicate an itinerary and it is re-priced at today's rates; an itinerary that has already been requested is locked, and you work on a copy.
Guaranteed departures are a separate product with their own rates.
