Quoting a group without starting from scratch
A group is one file with its passenger list, rates by passenger band, a rooming list and a quote that shows the price per passenger. How to quote it, and requote it when the size changes.
What makes a group different
A group has many pieces at once: rooms by type, transfers, excursions and one price per pax that everyone asks about. A change in the number of pax moves all of them, which is why groups are the quotes most often rebuilt from scratch.
One file for the whole group
The group is a single file with its group name, the number of pax and the passenger list. Cost, sale and profit are shown for the whole file, and the price per passenger appears in the quote you give the client, with the totals.
Rates by passenger band
Service rates carry a minimum and a maximum number of pax, for both sale and cost. When you add the service to a group file, Beglobber picks the band that matches the number of pax and names the rate with its band, for example Regular 25-34. Circuits, instead, are priced per passenger by single, double and triple rather than by group size.
The passenger list and the rooming list
The rooming list button of the file, available on any saved file including a quote, opens the passenger list: last name, name, passport, nationality, birth date and type (ADL, CHD or INF), and an attachment control. The room type comes from each hotel line, and each hotel line carries a rooming text with the passenger numbers who share each room. The rooming list is used in the vouchers, the guide sheet and the requests to suppliers.
When the group changes size
Copy the file and Beglobber re-quotes every item for the new number of pax, with new dates, currency or markup if you want, so you do not rebuild the group.
What you hand out
From the group file you issue the same as from any file: the quote for the client with the price per passenger, the itinerary and the vouchers.
