How Beglobber uses AI: what it does and what it does not
An assistant that answers with your data, a quoter that reads a request, an importer that structures rate lists and an assistant for agencies: all optional, and the price never comes from the AI.
The rules
AI in Beglobber is optional: it is switched off by default and enabled per client. It works with the data of your company, your team reviews what it produces, and the price is always calculated from your rates and markup, never by the AI. In the back office there are three tools for your staff, and in the new online portal there is one assistant for your agencies.
The assistant of the back office
A round button at the bottom of every screen opens the assistant. You write a question and it answers using tools that only read: files, services, hotels, tours and destinations, rates, clients, traffic checks, indicators and balances. It cannot write or change anything. Files are limited to what the user can see, and the balances of clients and suppliers are for administrators. Today it answers in Spanish, and it is an instruction, not a check, that it does not invent: read its answers as you would those of a colleague.
The AI quoter
The AI quoter reads a pasted request: you choose the client and the currency, paste the request and click the quote button. The AI extracts the passengers, destinations, dates and services, and matches each one with a service of your system. The price is then computed by Beglobber, from the rate that applies and the markup of the client, the same way a file does. What is not in your system appears as a manual service, with no price. The quoter only shows the breakdown: it does not create a quote or a file, and nothing is saved.
The AI importer
The AI importer turns pasted text or a file (.xlsx, .docx, .csv or .txt, up to 5 MB) into draft rows of services, hotels, circuits or rates, and suggests which existing record each row matches, marked as new or as an update. You review and correct each row. Only rates can be saved, and only after you confirm; the amounts that the AI reads from the text become rates, which is why the review matters. They are marked as imported with AI.
The assistant of the online portal
In the new online portal, the assistant helps agencies. It answers first with the portal's own rules and its own search, and the AI only writes one or two sentences to introduce the results. It never gives a price or says that something is available: the price shown is that of the finder, and a text from the AI that includes an amount is discarded. It cannot book, add to the cart or quote. It currently runs as a pilot with one client, and the portal warns agents not to type the personal data of passengers.
What AI does not do
AI is not used with travelers: the tools are for your staff and your agencies. The mobile app has no AI, and the AI does not create files, itineraries or PDFs. Questions and data are processed by external AI services, so we recommend not typing passengers' personal data in the portal assistant.
