From quote to booking in a single file
A quote is a file with the status quote; when the client confirms, you change the status of the same file to booking, and everything else follows from that file.
Three records, three chances to go wrong
In many teams the quote lives in one place, the booking in another system and the invoice in a third. Every jump means copying data by hand, and every copy is a chance for a mistake that the client later sees as a wrong price, a missing service or an invoice that does not match.
A quote is a file
In Beglobber the file is the unit of work, and a quote is a file with the status quote. It holds hotel rooms, services (a transfer is a service), special services and air tickets, and it shows cost, sale and profit as you build it. Quotes and bookings have their own lists in the menu.
When the client confirms
You change the file status from quote to booking and save. It is the same file with the same code, so nothing is copied or typed again, and the markup can only be edited while the file is a quote.
The file then moves through its statuses as the work advances: quote, booking, confirmed, invoiced, closed, or cancelled if it does not go ahead.
What you issue from the file
What you hand to your client is issued from the buttons of the file:
- The quote for the client, as a PDF or HTML: with the three bases (single, double, triple), with only one base, or without rates, and with the price per passenger.
- The itinerary, as a PDF with images and no prices.
- The vouchers, per service and optionally per supplier.
- The settlement and the guide sheet.
- The rooming list: the passenger list of the file.
- The invoice, from the file's administration tab.
Traffic picks up the services
The services that are configured for traffic, such as transfers and excursions, appear in Traffic, where service orders for operators are created. Service orders do not come out of the file; they belong to Traffic.
Who can do what
Roles decide, page by page, who can read and who can write, and there are specific permissions to cancel a file and to reopen a closed one.
