Traffic: everything in one place
The day's services by date, the guide and supplier of each one, service orders, arrivals and the confirmation with each supplier: how Traffic works in Beglobber, and what it does not do.
What Traffic covers
In inbound operations, a flight change first thing in the morning moves the whole day: the transfer, the guide and the supplier. Traffic is the section of Beglobber where the operations team sees and organizes those services. It has three places:
- The list of the day's transfers and movements, to assign guides and suppliers.
- Service orders to operators, printed as PDF.
- The arrivals board, with its indicators.
- Besides these, the confirmation of each service with its supplier is recorded in the file.
The day's list of transfers and movements
The list shows the services of your files that are configured for traffic, such as transfers and excursions, grouped by date and then by city. Each row shows the flight, the time, the airline, the supplier and operator, the coordinator, the guide, notes and pick-up.
You choose a date range (from and to, which open on today) and can filter by country, city, supplier, operator, coordinator, guide, service, file and type (arrival, departure or both). The assignment filter separates assigned from unassigned services, and a green check marks a service whose origin, destination, coordinator, operator and pick-up are all loaded. The list can be printed as PDF and exported to Excel.
Assign the guide, coordinator and supplier
The pencil icon of each row opens the screen to edit that transfer or movement. There you set the guide of that service, the coordinator of the file, the supplier and the operator, the flight, the time, the pick-up and return, and the notes. Choosing a supplier recalculates the cost of the service.
A service that is already in a service order, or has prepayments or a supplier invoice, is locked; to change it, take it out of that order first.
Service orders
You create a service order per operator, date and city, and Beglobber loads into it the services of that operator, date and city that are not yet in an order. The order is a PDF in A4 landscape with your company name, address and emergency phone, the order number, the date and the operator, and a table with pick-up, pax, file, mobile, service, origin, destination, flight, airline, coordinator, guide, notes, return and agency.
At the end it has boxes for the driver, plate, type of vehicle, transport company and signatures, which are filled in by hand: Beglobber does not assign drivers or vehicles. The order adds the cost by supplier and feeds what you owe. It is printed, not sent by the system.
The arrivals board
The arrivals board shows the arrival services of the date you choose, with eight days as columns. Its indicators are “Pax of the day”, “Arrivals”, “Arrivals this week” and “No coordinator”, so you see who arrives and which arrivals still need a coordinator.
Confirm every service with its supplier
The confirmation is recorded in the file, not in Traffic. In the services of the file, each line has a check icon that opens the window to confirm the service with its supplier, where you enter a code and comments; the date and the user are recorded automatically. A second button removes the confirmation. In the list of services of the file, a green check means confirmed with the supplier and a grey one means pending.
Guides, coordinators, vehicles and pick-up
Guides are kept in a directory with their contact data, and the coordinator is the guide assigned to the whole file. Vehicle types are a catalog with a capacity, used to price transfers per vehicle. The pick-up time and place are data of each service in the file. There is no assignment of drivers or vehicles, which is why the printed service order leaves those boxes blank.
Check-in at the destination
Your team in the field can check passengers in by scanning the voucher QR with the Beglobber mobile app. The page about the mobile app explains the flow and what is recorded.
What Traffic does not do
Flight number, airline and time are data that you type: Beglobber does not read flight status and does not recalculate transfers or guides when a flight changes, so a change is made by editing the service. Service orders and supplier requests are not sent by email from the system. Knowing this lets you plan the day without surprises.
